About the Role

We are seeking two Administration Officers to support our Home Care and Allied Health teams. We welcome applications from candidates seeking full-time or part-time employment, with flexibility in the allocation of hours across the two positions. Standard working hours are between 9:00am and 5:00pm, Monday to Friday.

As the first point of contact for clients, families, visitors and staff, you will play a vital role in ensuring our services run smoothly. You will provide high-quality administration and customer support while helping create a welcoming and professional environment for everyone who visits or contacts our service.

Key responsibilities include:

  • Providing exceptional customer service via phone, email and face-to-face interactions
  • Managing reception and high-volume incoming calls
  • Coordinating clinician schedules, client appointments and room bookings
  • Supporting Home Care and Allied Health teams with administrative functions
  • Taking minutes and preparing meeting documentation
  • Managing calendars, meeting room bookings and staff schedules
  • Organising meetings, events and catering requirements
  • Maintaining accurate client records and databases
  • Assisting with billing, timekeeping and other administrative processes
  • Coordinating office supplies, mail and general office management activities
  • Supporting managers and teams with various administrative projects and priorities

You are highly organised, proactive and thrive in a busy environment. You enjoy building positive relationships and take pride in delivering exceptional service and support.

To succeed in this role, you will bring:

  • Previous experience in administration, reception or office management
  • Exceptional customer service skills
  • Strong verbal and written communication skills
  • Excellent organisational and time management abilities
  • Experience taking meeting minutes and preparing professional documentation
  • Confidence coordinating meetings, events and catering arrangements
  • Strong problem-solving skills and the ability to think proactively
  • The initiative to work independently while contributing positively to a team environment
  • Experience managing competing priorities in a fast-paced environment
  • High-level computer skills across Microsoft Office programs
  • Experience using AlayaCare and the My Aged Care (MAC) Portal (desirable but not essential)
  • Experience working within community aged care, health, allied health or a similar sector (highly desirable)
  • Experience supporting multidisciplinary clinical teams (desirable)
  • Knowledge of medical reception or healthcare administration (desirable)
  • A genuine passion for client engagement and supporting older people to achieve their goals
